Quarantined E-mail

It is the goal of the University to provide a work environment that is free from harassment, undesirable distractions or an intimidating, hostile, offensive, or uncomfortable atmosphere yet be conducive to the satisfaction of academic curiosity.

To that end the University has implemented a system for filtering inappropriate and undesirable e-mail messages. Because this system is not foolproof and will occasionally prevent valid e-mail messages from reaching the addressee, the following instructions are provided on how to review and release quarantined messages.

The End User E-Mail Message Quarantine (EUQ) system quarantines any e-mail messages that meet predetermined criteria that identify them as undesirable. Twice a day the system compiles a list of all the quarantined messages for an addressee and notifies that addressee by one or more e-mail messages containing a list of the quarantined messages. Each addressee has the opportunity of reviewing the list of quarantined messages and releasing any message for delivery.


Reviewing and Releasing Messages

Quarantined e-mail is held for 4 days. During that time you may review, release, delete, or “white list” quarantined e-mail. There are two ways to release a message from this quarantine list.

Release Option #1 - Message ID number

Click on the Message ID number of the e-mail you wish to release.

  • When a message is released you will see a new web page open with the following similar message: Message with id 23410351 has been released
  • If the message was addressed to multiple addressees and it was already released by one of them you will see a new web page open with the following similar message:
    Message with id 2964384 cannot be found
  • If the message has already been deleted by the system you will see a new web page open with the following similar message:
    Invalid request for messages with string 19218

Release Option #2 - URL at the top of the EUQ message

When using this option, you may receive a Security Alert in Internet Explorer. You may safely ignore this warning and click Yes to proceed. Other web browsers will provide a similar warning. Select the option to continue.

If you click on the long URL hyperlink in a message you will be presented with your quarantine list web page that lists all of the messages addressed to you that are still quarantined. There are three check box columns for each message – Release, Delete, and White List.

Release
Clicking on the Release check box for a message will select that message for delivery to your e-mail client Inbox. Clicking on the Release hyperlink at the top of the column will select all of the messages for delivery.

Using this option also allows you to Delete or White List an e-mail.

Delete
Clicking on the Delete check box will select that message for deletion from the quarantine server. Clicking on the Delete hyperlink at the top of the column will select all of the messages for deletion.

*Note: If a message has multiple recipients the Delete action will only remove you from the list of addressees and not delete the message from the server.

White List
Clicking a check box in the White List column selects the sender of the message to be added to your white list (subject to administrative review). Any messages to you from a sender that is on your white list will by-pass the quarantine process and be delivered to you. If no messages are received from the white listed sender over a 90 day contiguous period the white list entry will be automatically deleted.

*Note: A From address with a sender identifier (the part of the From address to the left of the @ symbol) that changes with each e-mail message will not work with this process. These messages are normally received from banks, credit card companies, etc.

No action is initiated until you click on the Submit button at the bottom of the page. The Reset button clears all of the check boxes. If no box is checked then no action will be taken in regards to that message.

*Note: If no action is taken on a quarantined message for 4 days it will be deleted by the system. The message will no longer appear on your list.
