LISTSERV Administration

The password is for administrators only. Do not tell anyone the list password. Individuals that send mail to the list only need the name of the list - not the password.

Before working with the LISTERV, administrators should:

  1. Review the Maintaining the LISTSERV section below.
  2. Add your name and one or two others from your department using the ADD command.
  3. Get a list of names in your list by using the REVIEW command. Check and make sure that all names are correct. If not, use the DELETE command to remove incorrect ones and the ADD command to add the correct names.
  4. Send mail to the list. Be sure you use @listserv.uncc.edu in the To: field.
  5. Once you are comfortable with adding, reviewing, deleting, and sending mail to your list, add the rest of the names to the list. Once completed, send e-mail to everyone on the list to make sure it is working properly.

Maintaining the LISTSERV

To perform administrative maintenance functions for the list, always send e-mail to LISTSERV@LISTSERV.UNCC.EDU.

  • Requests are processed via commands embedded in an e-mail message.
  • Commands are not case sensitive.
  • Messages to the LISTSERV should be sent in plain text.
  • If email addresses are underlined in Outlook, they may not work with the list server. To remove the underlines, place the cursor at the end of the e-mail address and hit Backspace.

Add a Name to the LISTSERV


Step 1: Address e-mail to LISTSERV@LISTSERV.UNCC.EDU.
Step 2: In the body of the e-mail message enter:
QUIET ADD listname email-address first-name last-name PW=list_password

Note: The ADD command must be on one line, not two.
Step 3: You can put multiple QUIET ADD commands in the same message. Each ADD command must be on a separate line.
Step 4: Turn off all signatures. If you forget to turn off signatures, the additions will be made, but you will receive a series of error messages from the LISTSERV.
Step 5: Send the e-mail message.
Example: The following example will ADD two individuals to the TRACE-L list:
 


Delete a Name from the LISTSERV

Step 1: Address e-mail to LISTSERV@LISTSERV.UNCC.EDU.
Step 2: In the body of the note enter:
QUIET DELETE listname email-address PW=list_password

Note: The ADD command must be on one line, not two. Also note that you do not enter the person’s name in order to remove them from the list.
Step 3: You can put multiple DELETE commands in the same note. Each delete must be on a separate line.
Step 4: Turn off all signatures. If you forget to turn off signature, the additions will be made, but you will receive a series of error messages from the LISTSERV.
Step 5: Send the e-mail message.
Example: The following example will DELETE two individuals from the TRACE-L list:
 


Review Subscribers to the LISTSERV

Step 1: Address e-mail to LISTSERV@LISTSERV.UNCC.EDU.
Step 2: In the body of the note, enter REVIEW listname.
Step 3: Turn off all signatures. If you forget to turn off signatures, the additions will be made, but you will receive a series of error messages from the LISTSERV.
Step 4: Send the e-mail message.
Example: The following example will return all of the subscribers to the TRACE-L list
 
  Listserv will send an email note to you with a list of all the subscribers. Please check this list for accuracy.


Using Word as Your E-mail Editor in Outlook

If you are using Outlook as your e-mail client and you have Word set as your default editor, make sure that you turn off hyperlinks for any e-mail sent to LISTSERV. LISTSERV will not understand the hyperlink and will generate an error.

You have two options to turn this feature off:

Option 1: Keep Word as your default editor but turn off hyperlinks.
  1. Launch Word and click Tools, AutoCorrect, AutoFormat As You Type.
  2. Make sure the checkbox for Internet and Network Paths with Hyperlinks is cleared.
  3. Click OK and exit Word.
Option 2: Turn off Word as your default editor for Outlook.
  1. Launch Outlook and click Tools, Options, Mail Format.
  2. Make sure the checkbox for Use Microsoft Word to edit e-mail messages is cleared.
  3. Click OK.



Users with Long Names and E-mail Addresses

The standard ADD/DELETE method may not work for users with really long e-mail addresses and names because the length of the resulting command to LISTSERV exceeds what it can process. When this happens, use the following commands to add or delete users.

Note: You can have as many users as you would like on separate lines between the //ddname DD * line and the /* line.


The following will add users:
Examples:
  • TRACE-L is the list name
  • PW=TRACE-L should be PW=<List Password>
  • Type ddname, //ddname DD *, and /* exactly as they appear with no substitutions.
  • Reallylong1@uncc.edu is a sample e-mail address to be replaced with the desired email address.
  • Really Long Full Name 1 is a sample name to be replaced with the desired first and last name.

Similarly, the following will delete users:
